For most of our customers you will find that your main business telephone number(s) is associated with one, or more, Hunt Groups.
Often the system is set so that an inbound call to the main number will ring one hunt group for a period of time, and then move onto another hunt group and so on...until the call is answered by a voicemail greeting. Each hunt group will have one or more user's phones associated with it.
These greetings are therefore associated with a hunt group and you will need to find out which one it is before starting on the following process, and you will also need the voicemail box password. If you are unsure please email us at support@jaguartelecom.co.uk
Once you know the Hunt Group number and respective password you will be ready to start:-
1) Access your Company Voice Message system by pressing the Envelope button on your Horizon phone* or dialling 500.
2) At the prompt, DO NOT enter a passcode. Please wait for the announcement to finish and then key * (star) followed by the Hunt Group extension number and then # (hash).
The Hunt Group extension number can be obtained from us if you do not know it.
3) Then enter the relevant Hunt Group voicemail passcode and press #.
This is not your personal user extension voicemail passcode. If you do not know the passcode, you can call us to find out, or reset it in the Admin Panel. 4) At the prompt select option 1 for 'access your voicemail box'. **DO NOT press Option 3 for the Greetings Menu**
You will then hear a number of options but we are only focusing on options 2 and 3 at this time.
Option 2 - Change the busy greeting. This is the message that will ONLY ever be played if EVERY phone in this hunt group is busy and/or all users reject the call. We believe this scenario is fairly rare in most businesses and we recommend that you leave the default message as it is.
If you do want to record a BUSY greeting you can follow the prompts.
Option 3 - Change the no answer greeting. This is the most common message people will hear and we recommend personalising it. This message will be played when nobody answers the call and possibly when the schedule is set to 'Office Closed'. We will advise you which mailbox to change for each scenario.
Your choices are now:
1) Record a new No Answer greeting - allows you to record a fully personalised message without any additional messaging.
2) Play the saved message - lets you listen back to the current saved message.
3) Implement the system default - resets the message to the system default with your recorded name greeting only. This gives you a few seconds to record name only and has no personalisation.
5) When you are ready to record your greeting please do it with little or no noise in the background. Do not hold the phone too close to your mouth and speak slowly and clearly. Please ensure you follow ALL THE PROMPTS to check the recording sounds good and has saved correctly (do not just record it and hang up as this may not save).
6) Finally, you can hang up at any stage and start again if you get confused or in a muddle.
